1. Acceptance of Terms
By creating an account or using any part of StaffHQ, you agree to these Terms of Service. If you do not agree, do not use the service.
These terms apply to all users, including server owners, administrators, and staff members who access the dashboard under an account managed by a server owner.
2. Description of Service
StaffHQ is a multi-tenant SaaS staff management dashboard for Minecraft server networks. It provides tools for tracking staff activity, managing punishments, searching chat logs, monitoring server health, and related administrative functions.
StaffHQ is operated by AcidHunter as an individual operator, not a registered company. We reserve the right to modify, suspend, or discontinue any part of the service at any time with reasonable notice where practicable.
3. Account Registration
You must provide accurate information when registering and keep it up to date. You are responsible for maintaining the security of your account credentials. StaffHQ is not liable for any loss resulting from unauthorized access to your account.
You must be at least 16 years of age to use StaffHQ. By using the service, you confirm that you meet this requirement.
Each account corresponds to a single server network. Sub-accounts and staff access are managed within the owner account. You are responsible for all activity that occurs under your account, including actions taken by staff members you grant access to.
4. Subscriptions and Payments
StaffHQ is sold as a prepaid subscription. You pay upfront for a billing cycle (monthly, quarterly, 6-month, or annual) and your account remains active until the paid-through date. Longer cycles unlock automatic discounts shown on the pricing page. Prices are subject to change with reasonable notice and will not affect the remainder of any cycle you have already purchased.
No auto-renewal. Subscriptions do not renew automatically. You initiate each renewal yourself from the Settings page. This means you are never charged without taking an action.
Early renewal. If you renew before your current cycle ends, the new period stacks on top of your remaining time.
Tier changes. Upgrading to a higher tier activates immediately on payment and resets your paid-through date to the new cycle length at the new rate.
Payments are processed by MCSets. By purchasing, you agree to MCSets' payment terms in addition to these terms.
5. Refund Policy
All purchases are final. StaffHQ does not offer refunds for subscription payments.
Payments are processed by MCSets. Any dispute regarding payment processing is subject to MCSets' terms.
If you believe a charge was made in error, contact support@staffhq.net with your order reference.
Nothing in this section affects your statutory rights under applicable consumer protection laws.
6. Free Trial
StaffHQ may offer a 7-day free trial of the Pro plan. No payment information is required to start a trial. At the end of the trial, your account is suspended unless you start a paid subscription. Suspended trial accounts lose access to the dashboard, plugin API, and Discord bot features.
If you do not subscribe within 3 days of trial expiry, all data associated with your account may be permanently deleted. We may send a reminder before this happens, but we are not obligated to do so. Trial accounts do not receive the 7-day grace period or 30-day retention window that applies to paid subscribers (see section 11).
7. Acceptable Use
You agree not to use StaffHQ to:
- Violate any applicable law or regulation
- Collect or store data on individuals in ways that violate applicable privacy law
- Attempt to gain unauthorized access to any part of the service or its infrastructure
- Scrape, crawl, or systematically extract data from the service
- Introduce malicious code, viruses, or disruptive data
- Abuse, harass, or harm other users
- Resell or sublicense access to StaffHQ without written permission
- Place an unreasonable or disproportionate load on our infrastructure
We may suspend or terminate accounts that violate these requirements without prior notice.
8. Data and Content Ownership
You retain ownership of all data you upload or generate through use of the service, including staff records, punishment logs, and chat data. You grant StaffHQ a limited license to store and process that data solely to provide the service to you.
StaffHQ's software, branding, and content are owned by StaffHQ. These terms grant you no rights to our intellectual property beyond the right to use the service as described.
We do not sell your data or your players' data. We do not use it for advertising. Our full data handling practices are described in the Privacy Policy.
9. Service Availability
StaffHQ is provided on a best-effort, "as available" basis. We aim for high availability but do not guarantee uninterrupted access and do not provide a formal service level agreement (SLA).
StaffHQ is not liable for losses arising from service downtime, data loss due to infrastructure failure, or events outside our reasonable control.
10. Data Breach Response
In the event of a security breach that results in unauthorized access to personal data stored by StaffHQ, we will:
- Notify affected account holders via email within 72 hours of confirming the breach
- Provide a written incident report describing what happened, when it happened, what categories of data were affected (for example: player UUIDs, usernames, IP addresses, chat messages, session data, or server metrics), and what remediation steps were taken
- Make reasonable efforts to identify which tenants and data subjects were impacted, so you can inform your players as needed
- Notify the relevant supervisory authority within 72 hours where required by UK GDPR or EU GDPR
StaffHQ's liability in the event of a data breach is governed by section 12 (Limitation of Liability). We implement encryption at rest, per-tenant database isolation, and access controls to reduce the likelihood and impact of a breach, but we cannot guarantee absolute security.
11. Termination
You may cancel your account at any time from your account settings. On cancellation, your data will be retained for the remainder of any paid period and then deleted according to our standard retention schedule.
StaffHQ may suspend or terminate your account if you breach these terms, fail to pay outstanding charges, or if we are required to do so by law. On termination for breach, your data may be deleted immediately.
For paid subscribers whose accounts are suspended (for example, due to non-renewal), data is retained for 30 days after the date of suspension. If you reactivate your subscription within that 30-day window, your data is fully restored. After 30 days, your tenant database is permanently deleted and cannot be recovered.
12. Limitation of Liability
To the maximum extent permitted by applicable law, StaffHQ shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, data, or business opportunities arising from your use of the service.
Our total aggregate liability to you for any claim shall not exceed the amount you paid to StaffHQ in the 12 months preceding the claim.
13. Changes to These Terms
We may update these terms from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of the service after changes are posted constitutes your acceptance of the revised terms.
For significant changes, we will make reasonable efforts to notify you via email or an in-dashboard notice.
14. Governing Law
These terms are governed by applicable law. Any disputes will be resolved in accordance with the laws of the jurisdiction in which StaffHQ operates. We will always try to resolve disputes informally first. Contact us before taking legal action.
